Cadenzium Privacy Policy
The short version: Chordalia Systems does not collect, see, or store any of your data. Your archive stays on your hardware. If you choose to use Azure services, your content goes to your own Azure account — not ours. If you use local AI features, nothing leaves your machine at all.
What Cadenzium does with your data
Your archive
Your journal entries, letters, documents, images, and database live in the Master folder you specify during setup. That folder stays on your computer (or a drive you control). Cadenzium reads and writes to it directly — no copy is ever sent to Chordalia Systems.
Your license
Your license is verified entirely on your device using a public key embedded in the application. The app makes no network connection to Chordalia Systems to check your license. We never receive your license file, machine ID, or any telemetry about how you use the software.
Crash reports and telemetry
Cadenzium does not collect crash reports, usage statistics, or any telemetry. If the app crashes, nothing is reported anywhere automatically. You can report issues to us voluntarily by contacting support.
Azure services (optional, Family and Heritage editions)
Cadenzium can connect to Microsoft Azure services that you configure using your own Azure account. When you do:
- Azure Document Intelligence (OCR): Images of your scanned documents are sent to Azure for text recognition. Microsoft processes these images in your Azure tenant and returns the recognized text. Images are not retained by Azure after processing under standard Azure data handling terms.
- Azure AI Search: Text content from your archive is uploaded to a search index in your Azure account. This index lives in your Azure subscription and is not accessible to Chordalia Systems.
- Azure OpenAI (Ask a Question): When you ask a question, relevant text excerpts from your archive are sent to Azure OpenAI along with your question. The AI generates an answer from that context. These requests go to your Azure deployment, not a shared Chordalia endpoint.
- Azure Whisper (audio transcription): Audio files are sent to Azure for transcription. The transcript is returned and stored locally in your archive.
Key point: All Azure services are configured with credentials you provide. Data goes to your Azure tenant. Chordalia Systems has no access to your Azure account, your data, or your query history.

If you do not configure Azure, none of your data is ever sent there.
Local AI features (optional, Family and Heritage editions)
Cadenzium supports fully local alternatives to Azure:
- Tesseract / EasyOCR: OCR runs on your machine. Nothing is transmitted.
- Ollama (Ask a Question): Your questions and document excerpts are sent to a locally-running Ollama server on your own computer or network. Nothing leaves your machine.
- ChromaDB (semantic search): The semantic search index is built and stored locally. All searches run on your machine.
When using local AI features, no data leaves your device or local network.
The web interface (Family and Heritage editions)
Cadenzium includes an optional local web interface
(journal_web.py) that lets family members or staff browse
your archive through a browser. This server:
- Runs on your local network only — it is not exposed to the internet by default
- Does not send any data to Chordalia Systems
- Uses session cookies stored in the user's browser for login state; these are not transmitted outside your network
- Stores no data of its own — it reads directly from your existing archive database
You are responsible for securing access to the web interface on your network (firewall rules, local network access controls, etc.).
Personal Edition
The Personal Edition has no AI features and makes no network connections of any kind (other than those you initiate, such as checking for updates manually). All data stays on your machine.
Children's privacy
Cadenzium is not directed at children and we do not knowingly collect information from anyone. Since we collect no data from anyone, this is straightforward: nothing about any user — child or adult — is ever transmitted to us.
Changes to this policy
If we update this policy, the new version will be included in the next release of Cadenzium and posted on the Chordalia Systems website. We will note the updated date at the top of this document.
